Your Role in Our Journey:
As an Event Coordinator, you will play a key role in delivering seamless event experiences by coordinating essential planning and execution tasks. Reporting to the Manager of Event Services, you will be responsible for managing registration and delegate communications, coordinating speakers and sponsors, and supporting event planning tasks and onsite event execution. Your ability to stay organized, communicate effectively, and manage multiple priorities will ensure that all event elements run smoothly from start to finish.
How you’ll do it:
Event Coordination & Registration Support
Lead the setup of registration platforms and track ticket sales, ensuring a smooth registration experience for attendees.
Respond promptly and thoughtfully to attendee inquiries via phone or email, guiding them through the registration process.
Draft and update communications to guests, ensuring all event details are clear and up-to-date.
Event Planning & Logistics Support
Contribute to the planning of successful events by assisting with concept development, timeline creation, budgeting, vendor sourcing, speaker coordination, sponsor coordination and data analysis.
Ensure all aspects of event planning are aligned and executed effectively, contributing to the smooth progression of each event.
On-Site Event Execution & Post-Event Support
Provide hands-on support during event execution, ensuring smooth setup and a seamless program for both clients and guests.
Launch post-event surveys, collect and analyze feedback, and update reports, scorecards, and trackers with final event information.
Support the event wrap-up process to ensure clients have a thorough overview of event success and areas for improvement.
You’ll thrive in this role if:
You have a Bachelor’s degree or diploma in Event Management, Hospitality, Business, Communications, Not-for-Profit Management, or a related field.
You have 0-2+ years of relevant, full-scope event planning experience which includes planning, executing, and delivering complex, large scale, high attendee conferences and events.
Serious bonus points if:
You have experience working at an agency, not-for-profit, or association management company.
You are bilingual in English / French.
Compensation Expectations for this Role:
We believe in fair, transparent, and growth-focused compensation. Our salary bands are designed to ensure equity across roles (and internally), with most new hires starting at the lower end to allow room for development and progression. That said, we recognize and reward experience – strong, seasoned candidates may start higher within the band.
Starting Salary: $52,500 - $60,000
